Why categories matter more than you think
Intro: Discovering categories in QBank
Think of categories as the backbone of your QBank. They’re not just for organizing assets, they’re for driving consistency and control across your entire organization.
You might define them by content type, videos, documents, images or by function, like marketing, HR, or legal. However you set them up, categories allow you to enforce standards, automate processes, and ensure teams only see what they need to.
Every asset in QBank must belong to one and only one category. That rule keeps your system clean and structured.
A deeper dive into categories
In the first module, we looked at object types and touched on categories. Now we’ll go deeper. This time, we’ll explore how categories help govern your QBank with rules and restrictions that create a consistent experience for users.
Visibility and access control
One of the most valuable features of categories is access management.
Each category can have its own access rules. For example, you might allow the marketing team to upload and edit content, while legal only has view access. You can set this up under the Access tab by assigning permissions to user groups.
This makes category-level governance easy and effective.
Enforcing structure with validation
Categories also let you define rules that keep your QBank clean and consistent. In this module, we’ll show you three types of validations you can use:

required title format
Use regular expressions to enforce naming conventions. Great for workflows that rely on consistent file names. -
accepted file types
Limit uploads to only the file types you want. A category for videos, for example, shouldn’t accept Excel files. -
image dimensions
Set pixel size requirements for image categories. Useful when dealing with icons, UI elements, or specific format needs.
What happens when rules aren’t met?
If a user uploads something that doesn’t meet your rules, QBank will flag it with a clear validation message. That way, your system stays clean—without relying on manual cleanup or after-the-fact corrections.
